Who we are

SCRM Media Pty Ltd (“SCRM Media”, “we”, “us”) is an Australian marketing agency based at 96 Blyth Street, Brunswick VIC 3056. We provide social media management, advertising, photography and website services to motor vehicle dealerships across Australia.

This policy explains how we handle personal information, including information about people who submit enquiries through advertising we run on behalf of our dealership clients. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What information we collect

Enquiry (lead) information. When you submit a form attached to a Facebook or Instagram advertisement run on behalf of one of our dealership clients, we receive the information you entered on that form. Depending on the form, this may include:

• your name
• your email address
• your phone number
• the vehicle or service you enquired about
• any other answers you chose to provide on the form

We also record which advertisement and campaign your enquiry came from, and the date and time it was submitted.

Website information. If you visit scrmmedia.com.au we may collect standard technical information such as your IP address, browser type and the pages you visit, and any details you provide if you contact us directly.

Client and supplier information. We hold business contact details for the people we work with at our client and supplier organisations.

Why we collect it and what we do with it

We collect enquiry information for one purpose: so that the dealership you enquired with can contact you about your enquiry.

When your enquiry is received, we store it securely and notify the dealership. The dealership then contacts you directly. We also use aggregate information about enquiries, such as how many came from a particular advertisement, to report to that dealership on how its advertising is performing.

We do not sell your personal information. We do not use it to market our own services to you, and we do not add you to any mailing list of ours.

Who we share it with

We disclose enquiry information to:

• The dealership you enquired with. They are the intended recipient of your enquiry and handle your information under their own privacy policy.
• Our service providers, who help us store and deliver that information. These include our cloud hosting and database providers, our email delivery provider, and Meta Platforms, from whom the enquiry originates.

Some of these providers store or process information on servers located outside Australia, including in the United States. We take reasonable steps to ensure they protect your information in a manner consistent with the Australian Privacy Principles.

We may also disclose personal information where required by law.

How we protect it

Enquiry information is stored in an access-controlled database, encrypted in transit and at rest. Access is restricted to authorised SCRM Media personnel and to the dealership that the enquiry relates to. Each dealership can only access enquiries relating to its own advertising.

No system is perfectly secure, but we take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

How long we keep it

We retain enquiry information for as long as needed for the dealership to respond to and service your enquiry, and to meet our record-keeping obligations. Where information is no longer needed for any purpose for which it may be used or disclosed, and we are not required by law to retain it, we take reasonable steps to delete or de-identify it.

When a dealership's agreement with us ends, we delete or de-identify the enquiry information held for that dealership within 30 days of their access closing, on the timeline set out in our platform terms.

Accessing, correcting or deleting your information

You can ask us to:

• tell you what personal information we hold about you
• correct information that is inaccurate or out of date
• delete the information we hold about you

Email privacy@scrmmedia.com.au with your request. We will verify your identity before acting and will respond within a reasonable period, ordinarily within 30 days. There is no charge for making a request.

Please note that if you enquired with a dealership, that dealership holds its own copy of your information. You may need to contact them separately. We can tell you which dealership received your enquiry.

Complaints

If you believe we have mishandled your personal information, email privacy@scrmmedia.com.au and we will investigate and respond.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au, by phone on 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.

Cookies

Our website may use cookies and similar technologies to understand how the site is used. Most browsers let you refuse or delete cookies through their settings. Doing so may affect how parts of the site work.

We may update this policy from time to time. The current version will always be published at scrmmedia.com.au/privacy, with the date it was last updated shown at the top.
